GUIDED ROLLOUT
Structured mail automation.
MailAutomate classifies messages from approved shared mailboxes and carries out defined, safeguarded follow-up actions.
IN BRIEF
What is MailAutomate?
MailAutomate is a controlled processing service for shared mailboxes. It prioritizes and classifies emails, applies mailbox-specific rules and documents permitted follow-up actions.
- THE TASK
What problem does MailAutomate solve?
Recurring emails tie up attention, even though how they are categorized and handed over often follows clear rules. Manual processing leads to delays and inconsistent workflows.
- AVAILABILITY
GUIDED ROLLOUT
In productive use in TOMORIS operations. Each additional mailbox gets its own agreed scope and a separate acceptance.
- THE ROLE OF AIAI
What the AI does
AI classifies messages from approved shared mailboxes in a structured way. Follow-up actions run only via explicit allowlists.
Guided rollout / pilot
Your next step.
Agreed in concrete terms.
- Capture mail volume, assignment and the desired follow-up actions
- Review mailbox rules and permitted Microsoft Graph or Jira actions
- Evaluate processing, error cases and acceptance using agreed examples
Only the approved scope of mailboxes and rules is automated. Responsibilities, data processing and operations are clarified before the rollout.
FEATURES & MODULES
What the solution
delivers day to day.
- 01
Mailbox-specific rules
Each approved shared mailbox gets its own verifiable processing path.
- 02
AI classification
Content is categorized in a structured way for rule-based further processing.
- 03
Protected effects
Graph and Jira actions require explicit allowlists; empty means blocked.
- 04
Proof of operation
Health, dependencies, processing and errors remain observable.
- 05
Explainable decisions
Every decision names its prompt and model version. Rules start as drafts with a preview and are deliberately approved; settings come only from approved configuration, never from the email text.
- 06
Detect new mailboxes
New shared mailboxes are detected within an approved scope and shown as candidates. Detected does not mean authorized: processing only begins after setup and approval.
IN OPERATION
How MailAutomate
fits into everyday work.
- 01
Read incoming mail
Approved mailboxes are queried via Microsoft Graph.
- 02
Minimize context
Messages are normalized and sensitive content is protected before processing.
- 03
Apply rules
Only approved Graph or Jira effects are carried out and audited.

Frequently asked
questions.
Does MailAutomate act completely autonomously?
No. Mailbox rules, target systems and permitted actions are defined in advance and technically limited.
Are email contents written to operational logs?
The service logs messages only via technical references; sender, subject and content do not belong in the operational log.
What happens with a Graph error?
An error is shown as an error and is not masked as “no new messages”. The next controlled run tries again.
